How to share a Box and add people
Goal
Bring people into a Box by name, email or link, and choose who can join with the link.
The one thing to know first
Everyone in a Box can see and work on everything in it: every chat, every file and the instructions. There are no private chats inside a Box. Keep anything personal in a regular chat outside the Box.
Quick path
In the Box, click the member avatars at the top to open Box Members.
Under Add Invites, add people by name or email.
Or set General access and click Copy link.
Step-by-step
Open Box Members. Click the member avatars at the top of the Box. You can also open the Box's menu on the Boxes page and choose Share; it shows the same settings.
To add specific people: type into Add people by name or email.
Pick someone from your organization in the list, and they're added right away.
Type a full email address and choose Invite to add anyone, inside or outside your organization.
If the person doesn't have a BoodleBox account yet, they'll need to create one before they can open the Box.
They'll get an email. When you add someone, BoodleBox emails them a link to the Box. You can also send them the link yourself.
To share more broadly, set General access:
Setting Who can open the Box with the link Restricted Only people who were added. Organization Anyone in your organization. They join the Box when they open it. Public Anyone with a BoodleBox account. They join the Box when they open it. Click Copy link and send it. You'll see "Link copied."
The members list
Under Members, each person shows how they got in: Owner, Via invite, Via organization or Via link. Everyone who joins can edit everything in the Box. There's no view-only option.
Remove someone's access
Only the owner can do this. Open the person's menu in the members list and choose Remove access. They'll need a new invite to get back in.
The owner can't be removed.
Someone who came in through general access can't be removed on their own while general access still lets them in. Narrow General access first.
People without access are listed under No access, where you can invite them back.
Narrowing general access
If you change General access to something narrower, like Public to Restricted, BoodleBox warns you first and tells you how many people will lose access. People you added by name or email keep theirs. If you widen it again, the people who lost access get it back.
Good to know
Only the owner can add or remove people and change General access. Everyone else sees the members list and the current setting.
You can't leave a Box on your own yet. Ask the owner to remove you.
Verify it's working
The people you added appear under Members.
General access shows the setting you chose.
When someone opens the link, they see "You joined [Box name]. You can edit everything in it."
Still stuck?
If someone sees "You don't have access to this box," add them by email or widen General access. If someone didn't get the invite email, ask them to check their spam folder; see Troubleshooting BoodleBox emails going to spam. See also Understanding Box roles and permissions. Reach out through our contact form and we'll get back to you.
